Understanding Audit Trail
The Audit Trail tracks and reports the following changes performed.
TRANSACTIONS
Editing previously recorded transactions
The following transactional changes will trigger the tracking action.
- Selected Card change – per transaction;
- Transaction ID change - per transaction;
- Date change – per transaction;
- Amount change – per transaction line;
- Account change – per transaction line;
- Tax Code change or deletion – per transaction line;
- Tax Amount change– per transaction per Tax Code;
- Item change– per transaction line;
- Job Change– per transaction line;
Note: No changes on Orders/Quotes will be reported.
Deleting previously recorded transactions
Note: For each edited/deleted transaction, a specific “status” should indicate if the transaction was reconciled.
Note: If the transaction edited includes one reconciled piece, the original transaction is deleted and a new transaction is added. Therefore, some of the reconciled transactions editing could result in two lines in the Audit Trail log:
- Reconciled transaction was deleted.
- A new transaction was added.
Adding transactions, if they meet the following criteria:
- Transaction was recorded with non-default Tax Code.
- Transaction was recorded with edited Taxable Amount.
NOT TRANSACTIONAL CHANGES
Changes to Accounts, including:
Changes to Linked Accounts set up; this includes Setup à Linked Accounts changes and changes to the Tax Code(s) linked accounts.
- Change of the current account number. Note: This entry is only created if there is at least one recorded transaction for this account, if no transactions are recorded for this account, the change would not be tracked for the Audit Trail because the user may be setting up his/her file, so reporting on this change would not benefit the user.
- Change of the account’s Tax Code. Note: This entry is only created if there is at least one recorded transaction for this account. If no transactions are recorded for this account, the change would not be tracked for the Audit Trail.
- Change of account’s Opening Balance. Note: This entry is only created if there are any recorded transactions on the file, otherwise the action is not tracked for the Audit Trail.
- Adding a new ledger account. Note: This entry is only created if there are any recorded transactions on the file, otherwise the change is not tracked for the Audit Trail.
- Deleting a ledger account. Note: This entry is only created if there are any recorded transactions on the file, otherwise the change is not tracked for the Audit Trail.
Changes to three Security Preferences
- Lock Period preference. This would include preference selection/deselection and the lock period date change.
- Transaction Reverse/Change preference.
- Audit Trail activation preference.
