Hi I am looking for a simple accounting program for our Non-profit volleyball club. We have been doing everything on a cash basis by hand and then inputting to excel for the last 2 years. We are growing and it is difficult to keep up at this point. I am the co director and my husband the director and also the Clubs Accountant. I work on a Mac and he works on a PC. Will Accountedge accommodate this type of non-profit accounting? I will be doing 95% of the work on my Mac and then sending it to my accountant/husband to do the tax reporting on his PC.

    Hi Donna,

    AccountEdge should be a good fit for your volleyball club's needs. Depending on how you need to account for non-profit financials will decide how you use AccountEdge. I know some non-profit orgainizations have to follow fund-accounting where specific donations go towards specific "projects". In that case, AccountEdge can handle that, but transactions and reporting are done differently than a normal businesses.

    As for your husband using a PC for tax reporting, there are a few ways that he can work with you being on the Mac. One way this can work for you is to print out the reports that he will need for quarterly/end of year reporting. If you need him to look at the same data that you see in AccountEdge, he would need a license of AccountEdge for Windows. If he is a CPA/CGA in a public practice, he would be eligible for a Free Accountant Copy (FAC) that we offer to all our customers. If your husband is not in a public practice, then you would need to purchase a 2nd license. I know that if you buy a 2 licenses under the same name/customer record, Customer Service will offer a discount for the 2nd license.

    Is there a way to send year-end donor tax letters out from Accountedge? Would the donors be set up as "personal" cards? (since they're neither vendors nor customers)?

    Hello Margot,

    AccountEdge does not have a way to send year-end donor tax letters. In our software, you would set up any donors as Customers and you would be able to run a "Card Transactions" report that you can set to show you all of your receipts from the specific customer. This would show you all of the "donations" that they had given over the year. This is generally the solution that works for the non-profits I speak with.

    AE is by no means a donor management program, but it can automate some of the tasks. Using the Card Transaction report you can filter with Source Journal: Receipts and/or use card identifiers D=Donor etc to get the list of totals for each donor/customer (without other transactions like sales). Use the data from this report for total $ and who to process and then go through your customer card list to create letters, envelopes, emails. Depending on your computer skills you can create customized letters and e-mail templates plus auto text typing keystrokes (I use Spark) to automate much of the process.
    If they give you money = customers
    If you pay them money = vendors
    Personal cards = not applicable or very functional for transactions etc.
